Ways of Working and Terms and Conditions for Group Supervision
Group Supervision Agreement:
Square Peg: Amanda Livermore (the Supervisor) and the Supervisee
Vertical: Amanda Livermore and Sylvie Faisandier (the Supervisors) and the Supervisee
Purpose
The purpose of this agreement is to clarify the parties’ expectations of the group supervisory relationship. If you do not agree with the details herein, please contact us immediately, otherwise, your attendance of this Group Supervision cohort is deemed to be full acceptance of this agreement.
Frequency and duration of sessions
Good practice in coaching requires regular supervision. Typically, this will be a minimum of 6-8 times a year, for approximately 150/180 minutes on each occasion. All supervision sessions will be virtual.
Individual ad hoc sessions may be arranged between formal group sessions to support the Supervisee in specific situations, when needed. All terms and conditions will be arranged directly between one of /the Supervisors and the Supervisee, including fees, session duration and frequency.
What to expect from Group Supervision
The Supervisee agrees to:
Bring current cases to the session
Maintain a learning log from supervision, which can be used in your submission for accreditation
Embrace differences of opinion, values, techniques and styles in a non-judgemental way within the group supervision
Raise either privately with the Supervisor or collectively with the group, any potential conflicts of interest that impact upon your development
The sessions not being recorded.
Provide considered feedback to the Supervisor/s – making this a learning relationship for all.
The Supervisor/s will:
Provide the three key elements of supervision – developmental, self care and ethical practices.
The Parties agree that:
Supervision is a confidential relationship for Supervisee and Supervisor/s. The Supervisor/s will not disclose the content of supervision conversations, except when:
this is required under their duty of care or
in general terms and anonymously when undertaking their own supervision or to generate case studies or learning materials for coach education, but these will never be identifiable and will typically be an amalgam of several situations
All Supervisees are expected to respect confidential conversations within the supervision group
As professionals with the high possibility of experience of neurodivergent traits or working with neurodivergent clients, it is especially essential that each party can express themselves or voice a concern, whilst maintaining a respectful, considered and contained manner
All resources should have an associated copyright fully respected and where appropriate permission sought from the copyright holder to use or reproduce accordingly
We will do an initial review of how things are going at subsequent times throughout the relationship (at least once annually)
Ethical codes and practice
As an accredited Master Practitioner Supervisor with EMCC Global and Professional Certified Coaches with the International Coaching Federation, the Supervisor/s subscribe to the ethical code of the European Mentoring and Coaching Council (EMCC) and International Coaching Federation (ICF)– now incorporated into the Global Code of Ethics. The Supervisor/s have professional liability insurance, continuing professional development and coach supervision. EMCC Global and the ICF Global operates a complaints procedure, should you have serious concerns about the supervisors’ practice please contact EMCC Global or ICF Global Complaints.
The Supervisor/s are committed to safeguarding the privacy of their Clients and their staff. Both are registered with the Data Protection Authority in the UK – Amanda Livermore via LORE Consultancy (ICO Registration Number ZA805052). Notes are handwritten and retained for a period of no more one year before being destroyed by secure shredding. Digital records including application/registration forms are retained for the length of supervision and will be securely destroyed within one year of the end of supervision.
Our work together (Supervisee and Supervisor/s)
We will send you a preparation and reflection guide for our sessions to get the most out of supervision. We welcome all written or verbal evaluation, as feedback is crucial to our development.
Fees, cancellation and contact
The fees (plus VAT, where applicable), invoicing and payment schedule for group supervision are agreed between the Supervisors and the Supervisee. In agreement with the Supervisee, they will be stated on the invoice sent ahead of the first planned sessions. These fees will be reviewed annually.
As these are group sessions, we publish the session dates as far as possible in advance. Unfortunately, we are unable to offer a refund or discount for any sessions not attended, whether attendance was planned or not. Diary invites for all sessions will be sent to you prior to the start of the first session, including details for the Zoom calls.
LORE Consultancy Ltd: Terms and Conditions Group Coaching Supervision Programme
1. Introduction
1.1. LORE Consultancy Ltd ("we," "us," or "our") whose registered address is 24 Cornwall Road, Dorchester, DT1 1RX, registered in England: 04744654.
1.2. These terms apply to our Group Coaching Supervision Programme, consisting of eight two and a half-hour sessions for Square Peg and ten three-hour sessions for Vertical delivered virtually via Zoom over a twelve-month period.
2. Programme Overview
2.1. The Group Coaching Supervision Programme consists of:
Either eight two and a half OR ten three-hour sessions
Delivered via Zoom
Scheduled at regular intervals over twelve months
Maximum of 6 participants per group
2.2. Specific session dates will be agreed with participants before the programme commences.
2.3. Sessions are scheduled to accommodate participants' availability and may be held monthly or bi-monthly depending on the group.
3. Joining the Programme
3.1. When you apply for the programme, we will let you know by email if you are accepted. That is when our agreement starts.
3.2. This agreement, along with any additional terms in our acceptance email, forms our entire understanding.
3.3. While we provide descriptions of the programme, these are to give you an idea of what to expect and are not legally binding.
4. Minimum Numbers
4.1. The programme requires a minimum of 4 participants to run.
4.2. If minimum numbers are not reached by 4 weeks before the first scheduled session, we reserve the right to cancel the programme. In this event, all participants will receive a full refund of all payments made.
5. Pricing and Payment
5.1. The total programme fee covers all six sessions and is payable as follows:
Option A: Pay in full:
£100 + VAT non-refundable deposit to secure your place
Remaining balance due within 30 days of acceptance and no later than 4 weeks before the first session
Option B: Pay in instalments
£100 + VAT non-refundable deposit to secure your place
First instalment (50% of remaining balance) due before the first session
Second instalment (remaining 50%) due before the fourth session
5.2. VAT applies to all prices at the current rate of 20%.
5.3. If you are paying from overseas, please ensure the full amount in pounds sterling reaches us. All bank charges are your responsibility.
5.4. If instalments are not paid on time, this will be treated as non payment. Non-payment may result in removal from the programme with no refund.
6. Attendance Requirements
6.1. Regular attendance is essential for group supervision to function effectively.
6.2. You must attend a minimum of 6 out of 8 (for Square Peg) or 8 out of 10 (for Vertical) sessions to receive:
Attendance verification for credentialing purposes
A certificate of completion
6.3. If you miss more than 2 sessions, you will not receive attendance verification, regardless of the reason for absence.
7. Individual Session Cancellations
7.1. If you need to cancel attendance at an individual session, please notify us as soon as possible.
7.2. If you provide more than 7 days’ notice of absence:
You may join an alternative group session that month, subject to availability
We will make reasonable efforts to accommodate you but cannot guarantee alternative session availability
If no alternative is available, the session is forfeited with no refund
7.3. If you provide less than 7 day’s notice or fail to attend without notice:
The session is forfeited with no refund
No alternative session will be offered
7.4. You may miss a maximum of 2 sessions (for any reason) across the programme.
8. Programme Cancellations and Refunds
8.1. If you need to cancel your participation in the entire programme, you must notify us in writing.
8.2. The following refund policy applies:
More than 4 weeks before Session 1: Full refund minus the non-refundable deposit
2-4 weeks before Session 1: 50% refund of all payments made
Less than 2 weeks before Session 1: No refund
After Session 1 has commenced but before Session 3: Pro-rata refund for remaining sessions minus a £50 administrative fee
After Session 3 has commenced: No refund
8.3. It is your responsibility to ensure we have received your cancellation notice.
8.4. All refunds will be processed within 30 days of your cancellation being approved.
9. Programme Changes by LORE Consultancy
9.1. We may need to make reasonable changes to the programme content to meet legal or safety requirements, or if we believe it will enhance your experience.
9.2. We reserve the right to reschedule individual sessions with a minimum of 14 day’s notice.
9.3. If we reschedule a session and you cannot attend the new date:
You may join an alternative group session that month, subject to availability
·You may attend the equivalent session with a future cohort, subject to availability
If neither option is possible, we will refund you for that session on a pro-rata basis
9.4. We reserve the right to substitute supervisors as necessary, ensuring replacement supervisors hold appropriate credentials and experience.
9.5. If circumstances beyond our control make it impossible to deliver the programme, we will provide a pro-rata refund for any uncompleted sessions.
10. Transfers and Group Changes
10.1. You may request one programme deferral to a future cohort within 12 months of your original programme start date, subject to:
Availability in future cohorts
A £50 administrative fee
A price increase
Our prior approval
10.2. If you wish to transfer between concurrent groups (for example, from a Tuesday group to a Thursday group), we will consider this on a case-by-case basis with no additional charge, subject to availability. If successful,. all payments received will automatically transfer to the new programme.
10.3. Transfers are not guaranteed and are at our discretion.
11. Technology Requirements
11.1. Participants must have access to:
Reliable internet connection
A computer, tablet, or smartphone capable of running Zoom
A webcam and microphone
A quiet, confidential/private space for sessions
11.2. You are responsible for familiarising yourself with Zoom before the first session.
11.3. Technical difficulties on your end do not constitute grounds for refund, rescheduling, or attending alternative sessions.
11.4. We will provide technical support guidance but cannot be held responsible for your equipment or internet connectivity issues.
12. Professional Standards and Confidentiality
12.1. All participants agree to maintain strict confidentiality regarding:
Case discussions and client identities
Personal information shared by other participants
Colleagues or organisations mentioned during sessions
Any other sensitive information arising during supervision
12.2. Participants are expected to always engage professionally and respectfully.
12.3. We reserve the right to remove any participant whose behaviour is:
Disruptive to the supervision process and or others learning experience
In breach of coaching professional standards
Potentially harmful to clients or colleagues
12.4. Removal from the programme for behavioural reasons will result in no refund of any fees paid.
13. ICF/EMCC Credential Hours
13.1. We will provide attendance verification for professional coaching bodies upon request.
13.2. ICF credential holders can apply up to 10 hours of coaching supervision towards the 40 Continuing Coach Education (CCE) hours required for credential renewal.
13.3. It is your responsibility to ensure our programme meets your credentialing body's requirements before booking.
13.4. We cannot be held responsible if your credentialing body does not accept our programme for CCE hours.
13.5. Attendance verification will only be provided if you meet the minimum attendance requirement of 4 out of 6sessions.
14. Intellectual Property
14.1. All programme materials, frameworks, and methodologies are our intellectual property.
14.2. You may not copy, reproduce, distribute, or share our materials without our express written permission.
14.3. You may use materials for your own professional development but not for commercial purposes.
15. Our Commitment to You
15.1. We will deliver the programme with reasonable skill and care.
15.2. We will provide appropriately qualified and experienced supervisors holding relevant credentials.
15.3. We will create a safe, confidential, and supportive supervision environment.
16. Our Liability
16.1. We are not liable for:
Business losses (if you are attending in a business capacity)
Losses caused by the venue or third parties
Travel disruption or costs
Losses that could have been avoided by taking out appropriate insurance
17. Force Majeure
17.1. Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from circumstances beyond reasonable control.
17.2. If such circumstances prevent us from delivering a session, we will reschedule at the earliest opportunity and notify you as soon as reasonably possible.
18. General Terms
18.1. We may assign or subcontract our rights or obligations under this agreement.
18.2. These terms are governed by English law, and any disputes will be handled by English courts.
18.3. If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
18.4. Our failure to enforce any provision of these terms shall not constitute a waiver of that provision.
19. Data Protection
19.1. We will process your personal data in accordance with applicable data protection laws.
19.2. We will use your data to:
Administer your participation in the programme
Communicate with you about sessions
Process payments
Provide attendance verification if requested
Use your email address and name and hours attended to ‘count’ towards documented supervised hours for both the EMCC and the ICF
19.3. We will not share your data with third parties except as required by law.
20. Your Agreement
20.1. By accepting your place on the programme and making payment, you agree to these terms and conditions.
20.2. You confirm that all information you have provided to us is accurate and complete.
